How to Submit Your Book

 

Asia Book Registry accepts scholarly books with a valid ISBN from authors and publishers across Indonesia and Asia. Follow the steps below to register your book and bring your print scholarship into the global digital academic record.

 

Primary Requirement: Valid ISBN

All books submitted to Asia Book Registry must carry a valid International Standard Book Number (ISBN) issued by the national ISBN agency. The ISBN is the foundational identifier linking your book's physical existence to its digital registry record and enabling citation, discovery, and indexing worldwide. Books without a valid ISBN will not be accepted at any stage of the review process.

Who Can Submit

Submissions may be made by the author, editor, or an authorized representative of the publisher. The submitting party must have the legal authority to register the work and must ensure that all co-authors and editors have consented to registration.

Submission Flow

Register an Account

Create a free author account at bookregistry.asia using your institutional or personal email. You will need to provide your full name, affiliation, country, and optionally your ORCID iD. If you already have an account, proceed to Step 2.

Start a New Submission

Log in and click "New Submission" from your author dashboard. Select the appropriate category (Monograph, Edited Volume, Textbook, or Other). Read and confirm that your submission meets all requirements before proceeding.

Upload Book Files & Metadata

Upload your required files (see checklist below) and complete all bibliographic metadata fields: ISBN, title, subtitle, language, publisher, publication year, abstract, keywords, subject classification, and table of contents. All fields marked with an asterisk (*) are mandatory.

Complete Declarations & Agreements

Complete all required declaration forms: AI Use Declaration, Originality Statement, Author Contribution Statement (for multi-author works), Copyright Agreement, and Conflict of Interest Disclosure. These declarations are mandatory and must be accurate — see full details in the Declarations section below.

Editorial Review

Your submission is reviewed by our editorial team for completeness, originality (Turnitin screening), language quality (Grammarly Premium), and compliance with our submission standards. You will receive status updates via email. This stage typically takes 5–14 working days.

✓ Accepted & Published to Registry

Accepted books are published to the Asia Book Registry public database. Your book's metadata is disseminated to Google Scholar, OAI-PMH harvesters, CrossRef (if DOI is registered), and partner library catalogs. You receive a registry confirmation certificate and a permanent registry URL for citation purposes.

Artificial Intelligence (AI) Use Declaration

Mandatory Declaration — Required for All Submissions

In accordance with guidelines issued by the Committee on Publication Ethics (COPE), the International Association of Scientific, Technical and Medical Publishers (STM), and major international publishers, Asia Book Registry requires all submitting authors to declare the use of artificial intelligence tools in the preparation of their submitted work.

What Must Be Declared

Authors must declare whether any of the following AI or AI-assisted tools were used in the preparation of the manuscript or its accompanying metadata:

???? Generative AI Writing Tools

Use of ChatGPT, GPT-4, Claude, Gemini, Copilot, Llama, Mistral, or similar large language models to generate, draft, paraphrase, expand, or translate any portion of the book text, abstract, or metadata.

 

???? AI-Assisted Writing Aids

Use of Grammarly (AI suggestions beyond grammar), QuillBot, DeepL Write, Wordtune, or similar tools that substantially rewrite, restructure, or paraphrase content using AI.

????️ AI Image Generation

Use of Midjourney, DALL-E, Stable Diffusion, Adobe Firefly, or similar tools to generate images, figures, diagrams, or cover art included in the submitted work.

 

???? AI Data Analysis Tools

Use of AI-driven data analysis tools (e.g., AI features in statistical software, automated synthesis tools) that contributed substantially to the research findings reported in the book.

What Does NOT Need to Be Declared

Standard tools that use basic algorithms or spell-check functions without generative AI capabilities — such as basic grammar checkers, reference managers (Zotero, Mendeley, EndNote), statistical software used conventionally, or standard translation software — do not require AI declaration.

AI Cannot Be Listed as an Author

AI tools and large language models cannot be listed as authors or co-authors of any submitted work. Authorship requires accountability, the ability to consent, and responsibility for the integrity of the research — capacities that AI systems do not possess. This position is consistent with COPE, ICMJE, and the majority of international publishers. Authors are fully responsible for all AI-generated content in their submissions and must ensure its accuracy, integrity, and originality.

How to Write Your AI Declaration

Template A — No AI Used

"The authors declare that no artificial intelligence (AI) or AI-assisted tools were used in the writing, editing, data analysis, or image creation for this work."

Template B — AI Was Used (adapt as appropriate)

"During the preparation of this work, the author(s) used [name of AI tool] for [specific purpose: e.g., language editing of the abstract / grammar checking / translation assistance]. After using this tool, the author(s) reviewed and edited the content and take full responsibility for the content of the publication. No AI tool was used to generate, fabricate, or substantially author any section of the book."

Ethical Standards & Regulatory Compliance

All submitted books must comply with applicable ethical standards and regulations. Asia Book Registry adheres to the following frameworks and expects all registered works to uphold them:

COPE — Committee on Publication Ethics

All submissions must conform to COPE's Core Practices, including standards on authorship, data transparency, peer review, and handling of allegations of misconduct. publicationethics.org

 

Declaration of Helsinki

Books reporting research involving human subjects must state compliance with the WMA Declaration of Helsinki (2024 revision). Ethics committee approval must be declared and referenced.

ICMJE — International Committee of Medical Journal Editors

Books in biomedical and health sciences fields must comply with ICMJE authorship criteria: conception, drafting, critical revision, and final approval — all four criteria must be met by each credited author.

 

WAME — World Association of Medical Editors

Medical and health-science books must follow WAME's policies on editorial independence, peer review integrity, and conflict of interest. wame.org

KEPK — Komite Etik Penelitian Kesehatan (Indonesia)

Indonesian health-science and clinical research books must declare approval from a registered KEPK (Research Ethics Committee) in accordance with Permenkes No. 25/2022 on research ethics.

 

DOAJ — Directory of Open Access Journals/Books

Open access books registered to the platform follow DOAJ best-practice criteria for open access content, metadata quality, and licensing transparency to support future DOAJ listing.

Copyright & Licensing

Authors retain copyright of their registered work. By submitting to Asia Book Registry, authors grant the platform a non-exclusive, perpetual, royalty-free license to display, store, and distribute the bibliographic metadata and abstract of the registered work for the purpose of indexing, discovery, and academic citation — not the full manuscript.

Open access books may optionally register a Creative Commons license. We support CC BY, CC BY-SA, CC BY-NC, and CC BY-NC-ND licenses for open access content declarations. The chosen license must match the license granted by the publisher on the physical or digital edition.

Grounds for Rejection or Removal

Submissions may be rejected, or accepted works removed from the registry, if any of the following are found:

⚠️  Missing or invalid ISBN — ISBN not verifiable through the International ISBN Agency database
⚠️  Plagiarism — similarity score exceeds acceptable threshold or text is substantially copied from unattributed sources
⚠️  Undisclosed AI authorship — AI-generated content found without declaration in submitted work
⚠️  Fabricated data or research misconduct — as defined under COPE guidelines
⚠️  Duplicate or redundant registration — same ISBN already registered on this platform
⚠️  Misrepresentation — false authorship claims, fraudulent ethics approvals, or misleading metadata
⚠️  Copyright infringement — submission of a work without legal authorization to register it
